DEFINITION
Under general supervision, performs responsible bookkeeping and accounting
tasks in the preparation and maintenance of financial records for the
student bodies of the Sacramento City Unified School District Adult
Education Centers; reviews monthly budget statements and makes necessary
adjustments; maintains a complete and systematic set of records of
financial transactions relating to student or school activities; and
supervises the operation of the student body bookstore.
EXAMPLES
OF DUTIES
Maintains general ledgers and journals showing all financial transactions
for the bookstore and its overall profit and loss status by verifying and
checking the daily receipts of money; maintains a record of all purchase
orders and invoices, and prepares checks for payment of invoices; keeps
records for all accounts receivable and account statements; keeps a
running record of all adult education scholarship funds; verifies and
enters in proper ledger all student activity funds; prepares a bank
deposit for monies received; at predetermined intervals, performs trial
balances to insure accuracy of ledgers, and prepares a balance sheet and
profit and loss statement; conducts periodic inventories of all bookstore
merchandise; monthly reconciles bank statements and deposits; prepares
quarterly sales tax statements; closes books at end of each year; prepares
statements for other public agencies for materials received; accounts for
all laboratory fees; accounts for all funds received from income
generating departments; maintains records of budgetary balances in all
accounts, and resolves any discrepancies in monthly budget statements;
prepares and submits source documents for budget transfers as needed, and
refers potential problem areas to supervisor; prepares, processes and
controls requisitions and purchase orders for all departments; examines
and records transactions in book account; posts and balances cash receipts
and disbursements; performs related tasks as required.
MINIMUM
QUALIFICATIONS
Knowledge of:
Methods of double entry bookkeeping;
Accounting principles, debits, and credits, general ledgers, subsidiary
ledgers, trial balancing, balance sheets and profit and loss statements;
Modern office practices and procedures, and software necessary for
recordkeeping.

Ability to:
Post financial data to journals and ledgers with accuracy;
Learn the Sacramento City Unified School District's financial documents
governing the purchase of books, supplies, and repairs;
Learn the Sacramento City Unified School District's budget coding system;
Effectively supervise and direct the operation of the student body
bookstore;
Analyze and interpret records and documents, and prepare accurate and
complete summaries and reports;
Make arithmetical computations with speed and accuracy;
Operate an adding machine or calculator;
Reconcile discrepancies in bookkeeping figures against financial
documents;
Work cooperatively with others;
Read and transfer data with speed and accuracy;
Count money with speed and accuracy;
Operate a typewriter;
Reconcile discrepancies with money collected against register tapes and
other financial documents;
Understand and carry out oral and written instructions;
Operate a computer and appropriate software.

Experience:
One year of responsible experience in complex financial or accounting
work, preferably including financial or accounting experience in a school
district.

Education:
Two years of college including courses in accounting or bookkeeping.
(Additional qualifying experience may be substituted on a year-for-year
basis.)
