DEFINITION
Under supervision, to perform a wide variety of moderately difficult and
complex clerical tasks, some of which may require the use of a typewriter.
JOB
CHARACTERISTICS
Employees in this class perform a wide variety of duties which require the
exercise of judgment and discretion. They may work in a situation
where there is a clerical supervisor and where procedures and methods are
prescribed, or they may work in an office where they are the only clerical
employee and must determine when and how tasks are to be accomplished.
Following initial instructions and within the scope of the assignment,
employees in this class are expected to exercise good judgment and
discretion in handling problems which may arise. They may have
considerable contact with students and teachers.
Clerk II is differentiated from clerk I primarily by the scope and
difficulty of duties, the comparative freedom from supervision, and the
opportunity for the exercise of independent judgment.
Typing is a requirement for all positions in this class, but the
percentage of time spent in typing varies considerably.
EXAMPLES
OF DUTIES
Receives, opens, sorts, stamps, and distributes incoming mail; types
letters, reports, bulletins, memoranda, cards, forms, requisitions, and
other materials; types mimeograph and ditto stencils; prepares permanent
record folders and posts data to a variety of records and cards; checks
incoming supplies against invoices or requisitions for completeness of
orders and issues supplies to teachers; files materials; collects and
receipts for fees; answers telephone, provides information, and takes and
delivers messages; answers questions of parents and students or refers
them to the proper office; posts data to attendance records and prepares
monthly attendance reports; prepares or assists in the issuance of
admission slips and readmit permits; registers students and assigns to
proper rooms; maintains inventories of circulating materials, assembles
and prepares shipping tags for these materials, and informs teachers of
bookings; types purchase orders, sorts invoices and runs totals, and
checks invoices and purchase orders for accuracy and delivery and receipt
of merchandise; checks time reports and posts absences to employee
records; computes payroll deductions for absences, retirement, and
withholding taxes; sorts and prepares checks for distribution; checks
applications for veterans' educational benefits and mails with necessary
documents to appropriate government agencies; prepares progress and
attendance reports for students receiving veterans' educational benefits
and checks monthly subsistence claims for accuracy; may operate test
scoring machine in the scoring of aptitude and other tests; may relieve on
the switchboard; may provide guidance to student helpers; and performs
related duties as required.
MINIMUM
QUALIFICATIONS
Knowledge of:
Modern office methods and practices, including letter and report writing,
receptionist and telephone techniques, and filing systems;
Correct English usage, spelling, grammar, and punctuation.

Perform responsible clerical work with accuracy and speed;
Learn and interpret specific laws, rules, and policies and to apply them
with good judgment in a variety of situations;
Make arithmetical calculations quickly and accurately;
Analyze situations and adopt an effective course of action;
Work cooperatively with others;
Meet the public tactfully and courteously and to answer questions in
person and by telephone;
Compile and maintain accurate and complete records and reports;
Operate common office machines.
